Smart Patient Matching
Smart Patient Matching compares active patient records and highlights pairs that might belong to the same person.
What this page does
This can help staff find duplicate records and keep a patient’s information and history together.
Tip:If the page shows 0 potential duplicates, no pairs met the current matching threshold. It does not prove that no duplicates exist.
How to find this page
- 1
Sign in to EliteHMS
- 2
In the left menu, select Deduplication
What the page shows
- Potential duplicates found: The number of patient pairs that match the current threshold.
- High confidence: Pairs with a strong match score.
- Sensitivity Threshold: Controls how similar records must be before they appear.
- All, High, Medium, Low: Filters the results by match confidence.
- Rescan: Runs the comparison again using the selected threshold.
- No duplicate patients found: No pairs currently meet the threshold.
The system compares details such as phone number, CNIC, name, age, gender, and city. Each suggested pair includes a score, confidence level, and reasons for the match.
Set the sensitivity threshold
Move the slider from 50% to 90%:
- A lower threshold (closer to 50%) finds more possible matches, including weaker ones. Review these carefully.
- A higher threshold (closer to 90%) shows fewer, stronger matches.
Changing the threshold triggers a new scan. Use the confidence filters to focus on High, Medium, or Low results.
Review a possible duplicate
For each pair, compare the information shown for both patients, including their names, patient IDs, phone numbers, age, gender, city, billed totals, and record dates. Read the match reasons and score.
Warning:A match is only a suggestion. Family members may share a phone number or address, and two different people may have similar names. Confirm the person’s identity and records before merging anything.
Merge records carefully
Select Merge only after confirming that both records belong to the same patient.
- 1
Choose which patient record to Keep
This record remains active and keeps its patient ID.
- 2
Review the field-by-field comparison
- 3
For a differing field, select Use other if the value from the other record is the correct one
- 4
Check all information, then select Merge Records and confirm
When merged, the other patient’s bills, prescriptions, lab tests, appointments, IPD records, vital signs, feedback, insurance claims, radiology studies, broadcast records, and OPD queue records are reassigned to the kept patient. Financial totals are combined.
Note:The other patient record is archived rather than deleted.
Warning:Merging cannot be fully reversed. If you are unsure whether records belong to the same person, cancel and ask an authorized staff member to verify first.
